Individual Sales Tracking Sheets

When you join the Shopexperts team, we will create a Google Document for you where you will keep track of your individual sales. This document will also be used by Evgeniya (the finance manager) to check the projects’ statuses and calculate various metrics that we need for better planning and timely adjustment of our processes and strategies.
Evgeniya sets up the format of the document and makes sure the formulas work correctly. She is also the one who can answer questions regarding hour and price calculations, monthly earnings, the way to reflect sales, etc.
Your main working areas on the sheet are columns A to P. Everything to the right is the area where Evgeniya makes notes for herself while cross-checking completed and paid projects and calculating some statistics that are necessary for further analysis.
If you’ve joined the company in 2024, column I (new hours) will most probably always be ticked because by now all old hours have been either distributed between other developers or expired. Old hours are all projects purchased before December 1, 2023, and they are paid to developers at 35%. Everything that the clients bought after that date is "new hours" and is paid at 65%. Individual Sales Tracking sheets are based on a template where each column makes part of a broader calculation that uses a standard "importrange" formula. That’s why, even if you don’t use a column, row, or cell, we don’t delete it, because this will inevitably damage our team-wide metrics calculations.
Your income is calculated in column M, where the formula counts your share of each project's revenue (65%). These numbers get automatically funneled to the table T10-X23 depending on the month when a project is or will be completed. The table T26-X38 is just a copy of the table above that's there for the convenience of Evgeniya's stats calculations.
When you're working on a project, its status should be set to "ongoing," and when you're done with it, you can change it to "completed.". The company only pays for projects that have been completed and approved by clients. If you're communicating with the client in Help Scout, there should be some message from them that shows their approval of the work. Evgeniya has access to Help Scout so it's easy for her to check your communication with clients there. However, if you are talking to a client somewhere else, she will have to ask you to confirm such approval in some form (a screenshot of communication or something like that) before she can make the payment for your invoice.
If a project starts in one month and is finished in the following month(s), it will be paid for in the following month(s) after completion.
Columns Q and R are for Evgeniya.
If you need to move rows up or down, or insert rows, please do it through inserting cell ranges rather than rows, because inserting a segment to the whole width of the table may affect the formulas.
Column P, "Notes," may be used by both you and Evgeniya.
