Rules & Guidelines

After you join the Shopexperts community and become part of its operational process, you need to follow certain guidelines.

  • Please be responsive on Slack and pay attention to the admin team’s notes and announcements.

  • Please communicate with clients using Shopexperts, Help Scout and/or CarsonDash and avoid taking the communication outside our platform. If you have to communicate with the client outside of our platform, be ready to provide the admin team with the full context of your work with the client. The admin team must request this information to validate the successful completion of the project before compensation can be paid out to you.

  • In your communication with clients, please stay professional and mindful of maintaining the company’s reputation. In your communication with the admin team, please remember that they may not be aware of any specifics of your work or projects. The more context and details you provide, the faster your request will be resolved.

  • When working with the leads, first, evaluate the request and send a project quote to the client; then, after the payment has been received by the company, start working on the project. Not vice-versa.

  • Remember that if you commit to a project, make a price quotation, and take the money, you accept full responsibility for the project. Avoid escalations and refund requests.

  • Avoid sending blind quotes to clients for projects that you are not exactly sure how long would take - carefully consider all possibilities and always strive to be as precise with the quote as possible, as the opposite can cause more harm to you and us. The smaller the project the more accurate your quote should be.

  • Each freelancer needs to check the CarsonDash platform for the history of a client to weave that context into their communication and assessment. If you miss something important related to their previous projects/quotes in your communication and it affects the client somehow, it reflects poorly on us and you, and we may lose a repeat client. Treat repeat clients with higher priority than new clients.

  • We’ve set in place some processes that help the company observe, track, and estimate the workload, as well as plan any adjustments or updates. Here is the list of documents that you should fill out:

On a daily basis:

  • Sales Tracking - Master sheet: every time you send a price quotation to a client

  • Individual Sales Tracking sheet: every time the client paid for a quote => a sale happened. Any changes and notes to sold projects should also be recorded on time

When applicable:

  • SPI Tracking Sheet: if you work with the Shop Pay Installments Banner process.

  • Projects Tracking Sheets: if you work with support packs.
