Pod Furniture is a furniture retailer based in Cork, Ireland, managing both custom-made orders across 15+ vendors and factories, as well as non-custom orders. Their team was relying on a manual Excel spreadsheet to track order progress through multiple stages — from spec creation and customer approval, through purchase orders and factory confirmations, to delivery. Orders were falling through the cracks, follow-ups were being forgotten, and the team had no real-time visibility into which orders needed attention on any given day.
We built a Shopify-native order tracking system using a combination of order metafields, Shopify Flow automations, and Better Reports dashboards. The Flows automatically tag and categorise incoming orders (custom vs. in-stock), assign vendors, log key dates like PO creation and fulfilment, and route orders through the correct workflow. Better Reports provides the team with a suite of dashboards including a main custom orders tracker, an overdue orders morning checklist, vendor-specific views, and payment balance reports — all with scheduled daily and weekly email summaries sent directly to the team.
The system replaced their Excel sheet entirely and is saving the Pod Furniture team over 2 hours of manual tracking work each day. Orders no longer get forgotten, overdue items are flagged automatically, and the team has full visibility across all vendors and stages without leaving Shopify.
