Shopify POS Migration and In-Store Setup
Retailers rarely switch POS for fun. The old contract is ending, the system can't see online stock, or staff are keying the same sale into two places. The switch is where the risk sits â a busy Saturday with barcodes that won't scan, gift cards that won't redeem and a card reader that won't connect.
A Shopify POS migration specialist moves products, customers and balances out of the old system, sets up and tests hardware at every counter, configures locations and staff permissions, and trains the team before go-live. For shops that also sell online, they connect inventory and customer records so both channels work from the same data.
This page covers hiring that help. If you're setting up Shopify POS yourself, the Shopify POS setup guide covers the steps. Moving a whole online store onto Shopify from another platform is store migration, a separate service.

How to hire for a Shopify POS migration
Look for retail experience, not just ecommerce. Of the 470 experts listing POS setup and migration on shopexperts (September 2026), most are agencies whose profiles came from partner-directory records rather than being written by the agency itself. A sample of the first 100 found 92 agencies and three claimed profiles, whose starting prices ran from $500 to $6,000. Ask each candidate for a rollout they ran, how many locations it covered and what went wrong on day one.
Ask for the go-live plan before the price. A good plan names a quiet trading day for the switch, a pilot location, who is on site or on call for the first opening, and how long the old system stays available for lookups. A quote without a date and a fallback covers configuration, not a migration.
List every system that touches the till. Accounting, loyalty, an ERP, a booking tool, payroll exports. Each one is a Shopify POS integration question with its own answer, and a missed one is how rollouts overrun. Hand the list over with your brief, not after the quote.
Settle hardware early. Shopify supports specific card readers, scanners, printers and cash drawers, and availability varies by country. Decide who orders, receives and tests each device, and whether any existing peripherals will carry over.
Check how training is delivered. Floor staff need hands-on practice on the actual devices. Managers need a separate session on permissions, refunds, cash counts and end-of-day. A recorded walkthrough and a one-page guide by the till cover the new starters who join next month.
Red flags. A quote given before anyone counts your SKUs or locations. A go-live pencilled in for the week before a sale. No plan for gift card balances.
Moving to Shopify POS without a messy first Saturday
Products and barcodes first. Every SKU needs the barcode your scanners read today, or staff end up searching by name with a queue at the counter. Clear out duplicates and dead stock before the export, not after the import.
Customers, gift cards and store credit. Customer records usually move cleanly. Gift card balances and store credit need more care, because each one is money you owe someone. Reconcile the totals in the old system against Shopify before the old one goes read-only.
What usually stays behind. Full transaction history rarely migrates in a usable form. Export it, keep access to the old system for returns and reporting, and set a cut-off date for returns against old receipts.
Opening stock per location. Shopify tracks inventory by location, so count each shop just before go-live rather than trusting last month's figures. A wrong opening count at one store can show up as oversold stock online.
Hardware, staff and a pilot. Test every reader, scanner, printer and cash drawer at the counter it will live on. Give every staff member their own PIN, and on POS Pro locations set custom roles so a weekend part-timer can't issue refunds. Then run one location for a week or two before rolling out the rest.
Don't plan around Stocky. Shopify retired it in August 2026. If purchase orders or stock transfers ran through it, decide where they live now before go-live.
How much does POS setup and migration cost?
Locations drive the price more than catalogue size does. Typical market ranges:
Single-store setup
$500 â $3,000
Hardware, settings, staff, testing
POS migration
$2,000 â $15,000
Products, customers, gift cards, history
Multi-location rollout
$10,000 â $50,000
Several stores, phased, with training
A single shop with a clean catalogue and new hardware sits at the low end. Price rises with every location that needs its own stock count, device testing and training session, and with messy source data: duplicate SKUs, missing barcodes, gift card balances kept on paper. A phased rollout costs more than one big launch day, and usually earns it by catching problems at the pilot store.
Hardware and any POS Pro subscriptions are separate costs, paid on top of the specialist's fee. Integrations with accounting or ERP systems are usually quoted separately too. Request a free quote with your location count and current system.
What does a Shopify retail POS specialist do?
Six parts of a typical rollout, most of them finished before the first sale:
Data migration
Products, barcodes, customers, gift card balances and store credit
Hardware and terminal setup
Readers, scanners, printers and drawers tested at each counter
Locations and inventory
Opening counts, stock per location and transfers between shops
Staff access and training
Staff PINs, POS Pro custom roles and hands-on practice
Omnichannel setup
Pickup in store, shared customer profiles, returns across channels
Integrations
Accounting, ERP and loyalty systems connected to the till
Frequently asked questions about moving to Shopify POS
Yes, and you shouldn't need to. The usual pattern is to build and test Shopify POS alongside the old system, then do the final stock count and gift card reconciliation after closing on the last trading day. Staff open on Shopify the next morning, with read access to Lightspeed kept for returns and history. The same approach works when moving from Square or most other retail systems.
Choosing devices Shopify supports in your country, then pairing each one with the till it belongs to. Every card reader needs a test sale and a refund, every printer a test receipt, every scanner a few real barcodes from your shelves. Receipt layout and cash drawer behaviour get checked at the same time. Old peripherals sometimes work and sometimes don't, so test them before building the budget around keeping them.
Less than owners expect for floor staff, and more than they expect for managers. Selling, returns and exchanges come quickly once people practise on the real device. Permissions, cash counts, end-of-day and handling a declined card take longer, and that's where mistakes cost money. Train in the week before go-live, not a month earlier, and keep your specialist reachable for the first few trading days.
One catalogue, one set of stock figures and one customer record across the website and the till. In practice, customers can buy online and pick up in store, return an online order at the counter, and build one purchase history either way. For a shop that sells almost nothing online, most of that value is theoretical. Where online is a real share of sales, it's usually the main reason to move.
Almost always. Integrations connect to the old POS, not to your data, so each one needs rebuilding against Shopify. Accounting and payroll exports usually move to an app connection, while an ERP or a custom loyalty scheme may need API work. Map what each integration sends and receives today before choosing replacements, because that list sets a large part of the quote.
If the shop's online store already runs on Shopify, usually yes: shared stock and customer records remove the double-keying that causes stock errors. If you have no Shopify store yet, compare the full cost honestly â hardware, any POS Pro subscription and the migration itself â against what your current system costs and what it can't do. A single feature you'd use twice a year isn't a reason to switch.
