Shopify Product Upload Services and Catalogue Setup
Uploading 500 products quickly is easy to buy. Uploading them so the filters work, the variants make sense and the next batch doesn't need a specialist is the part worth paying for. Shopify product upload services cover both: getting products in from your supplier sheets and image folders, and setting up the variants, collections and metafields that keep the catalogue usable as it grows.
This is structure and data entry, not content creation. Product descriptions and product photography are separate services, and most catalogue specialists expect you to supply both. On a store that's already trading, the same specialists also clean up catalogues that have drifted.

How to hire Shopify product data entry services
Send a real sample before asking for a price. Twenty rows from your actual supplier sheet, with the images as you have them, tell a specialist more than any description. Messy source data is what makes uploads slow, and a quote given without seeing it is a guess.
Ask how they'll get products in, not just how fast. Anything beyond a few dozen products should go in through a spreadsheet import, not one by one in the admin. Ask to see the import file before it's loaded, and what happens to rows that fail.
Test their judgement on variants. Ask how they'd set up a shirt sold in four colours and six sizes, and when they'd split a range into separate products instead. General ecommerce data entry services type fast but rarely make these calls well. Someone who can't explain the trade-off will make a different choice every week.
Agree naming conventions up front. Option names, vendor and product type values, tags and SKU format should follow one written convention. "Colour" on one product and "Color" on the next splits your filters, and inconsistent tags or product types quietly drop products out of automated collections.
Ask for quality checks after every batch. A good specialist spot-checks prices, stock, weights and images against the source, then sends you a list of gaps: missing barcodes, low-resolution images, products with no type. Weights matter because shipping rates can depend on them.
Be wary of a flat per-product price with no questions. A specialist who quotes without asking about variants, images or metafields hasn't looked at the work. The same goes for anyone who folds descriptions into the data entry rate: writing is a different skill and should be priced as one.
Get the catalogue structure right before anyone uploads
Most catalogue problems are decided in the first week and paid for long after. Settle these before the first import.
Product or variant. Variants suit versions of one item that share a description and differ by size, colour or material. Separate products suit items that need their own description, images, reviews or search presence. Shopify also limits how many options and variants a single product can carry, so very large ranges may need splitting anyway.
Option naming. Pick one name per option ("Size", "Colour") and one format for values ("Small" or "S", never both). Storefront filters group by these values, so inconsistency is visible to customers.
Manual or automated collections. Manual collections suit small curated edits. Automated collections pull products in by rules such as product type, tag, vendor or price, so new uploads land in the right place without anyone editing the collection. Most catalogues want mostly automated collections, with a few manual ones for campaigns.
Metafields for specs. Materials, dimensions, care instructions and compatibility belong in metafield definitions, not in tags or buried in descriptions. From there they can feed product-page blocks and storefront filters.
SKU and barcode conventions. A SKU format that encodes range, colour and size, such as TEE-BLK-M, speeds up stock counts and picking. Barcodes matter if you sell on marketplaces or advertise on Google Shopping.
An import template. The last deliverable should be a spreadsheet template with your columns, your conventions and one example row — so the next 500 products don't need a specialist.
How much do Shopify product upload services cost?
Specialists price per product, per project or per hour, and the state of your source data decides which is fairest. Typical ranges:
Per product
$1 – $10
Upload from supplied data and images
Catalogue project
$300 – $5,000
Clean-up, variants, collections, bulk import
Data entry rate
$10 – $40
Per hour, VAs and catalogue specialists
On shopexperts, 13 of the first 100 product setup listings have claimed profiles with published starting prices, from $75 to $5,000 with a median of $450 (September 2026). Agencies make up 83 of those 100 listings.
What moves the price: how clean the source data is, how many variants each product carries, whether images need renaming, resizing or matching to variants, how many metafields get filled, and whether SEO titles and meta descriptions are in scope. A clean supplier spreadsheet uploaded per product is cheap. The same catalogue copied out of PDFs is not. Send a sample of your product data and your SKU count to get a quote.

Shopify product listing services: questions merchants ask
Your supplier or ERP export as a spreadsheet, images in a folder named by SKU, any option and naming conventions you already use, and the list of collections you want. Flag the fields that must be filled, such as weight, barcode, country of origin and HS code if you ship internationally. The more that's agreed before work starts, the fewer rounds of corrections.
For a new range or a large batch on a live store, yes. Draft status keeps half-finished products out of collections and search while someone reviews a sample in preview. Publish in batches once prices, images and variants check out. Before a new store launches it matters less, since customers can't see anything yet, but a draft review still catches errors before they repeat across hundreds of products.
Yes. Clean-ups of drifted catalogues are a regular part of this work. The usual approach is to export products, clean the data in a spreadsheet, then re-import in batches with overwrite switched on. Leave the Handle column unchanged: Shopify matches rows on handle, so an edited handle creates a duplicate product. Change handles in the admin, where Shopify can add the 301 redirect.
Outsource the first build of the catalogue, large one-off imports and clean-ups, where mistakes are expensive and a specialist is faster. Keep routine uploads in-house once the template and conventions exist and new products arrive in a steady trickle. Plenty of stores do both: a specialist builds the structure and template, then a team member or VA follows it.
Not usually. This service builds the Shopify catalogue. Sending it to marketplaces is marketplace integration, often through Marketplace Connect, Shopify's own app, depending on your country and marketplace. A clean Shopify catalogue makes that step far easier, because marketplaces are strict about barcodes, variant structure and categories.
Yes. The specialist creates the metafield definitions first, then fills the values in bulk rather than opening each product. Most of the work is data: pulling specs out of descriptions, supplier sheets or PDFs into consistent fields. Once filled, the values can appear on product pages and in storefront filters. The metafields setup guide linked below explains how definitions work.
