Shopify Accountants and Finance Specialists

Most merchants go looking for a Shopify accountant when something stops adding up: payouts that don't match sales, sales tax obligations in more than one state, a year-end return and a Form 1099-K to make sense of, or a stock order the bank balance can't cover. Those are four different jobs, and different people often do them.

This category covers all of them: bookkeeping, sales tax and VAT, income tax returns, planning and forecasting, part-time CFO work, and selling or valuing a store. It doesn't cover choosing accounting software, which has a guide of its own, or setting up how you take payments.

193 experts on shopexperts list finance, tax or compliance services (September 2026). Read that number with care: 182 of them are tagged for sales tax setup and most are agency profiles, while the specialist accounting and CFO firms are a small group. Work out which job you have below, then compare the experts listed or go straight to the specialist page.

How to choose a Shopify accountant

Name the job before the title. "Accountant" can mean a bookkeeper, a sales tax specialist, a tax preparer or a part-time CFO. Open with the problem — "our books are six months behind" or "we don't know which states we owe sales tax in" — and the right people will recognise it as theirs.

Ask how your Shopify data will reach the books. An accountant for ecommerce should describe how orders, payouts, fees and refunds get into your accounting software each month, and who checks that nothing went missing. "Send us your bank statements" means they'll work from deposits, and your margins will be wrong from the first month.

Find out who does each part. One firm may keep your books, prepare the return and pass sales tax filing to a partner. That's fine if you know about it. Ask who does each piece, who signs each return, and who you call when a state tax office or HMRC writes to you.

Get monthly and annual work priced separately. Bookkeeping is monthly, income tax returns are annual, and sales tax filing follows each state's own calendar. One bundled fee hides what you're paying for and makes it hard to replace one part later.

Ask to see what you'd receive. An anonymised month-end pack from another client tells you more than a sales call. Look for a profit and loss, a balance sheet and short notes on anything unusual, delivered by a set date each month.

Treat three things as red flags. A promised tax saving before anyone has seen your books. A quote that doesn't change whether you sell into one state or twelve. And a proposal with no questions about inventory, which drives cost of goods sold for any brand that holds stock.

Which finance job are you hiring for?

Shopify brands tend to meet finance problems in roughly this order. Start at the first one you can't answer yourself.

1. Books that match reality. Payouts are net of fees, refunds and chargebacks, gift cards aren't sales until they're redeemed, and stock is an asset until it sells. Getting that right every month is bookkeeping, and every job below depends on it.

2. Sales tax and VAT. Shopify Tax calculates and collects US sales tax at checkout; registering with states and filing returns stay with you. Once you sell into several states or abroad, a sales tax and VAT specialist handles both.

3. The year-end return. Income tax returns, including reconciling the Form 1099-K from Shopify Payments, go to a tax preparer. Some bookkeeping firms prepare returns too.

4. Decisions about the numbers. How much cash the next inventory buy needs, which channels earn their margin, whether to take on financing. A model and forecast is financial planning; ongoing senior judgement is a fractional CFO.

5. A transaction. Raising money or selling the store needs a valuation and books a buyer or investor can check, which is specialist work of its own.

6. Narrower jobs. Chargeback disputes, pricing in several currencies, finance dashboards that join Shopify with ad and accounting data, and advice on loans or advances each have their own specialists. Stock counts, locations and reorder rules are inventory management, an operations job rather than an accounting one.

Bookkeeping and the annual return often sit with one firm, and many CFO firms keep the books as well. Sales tax filing across several states often goes to a separate specialist or a filing service. Wherever the work lands, tax judgement needs a qualified professional in your state or country.

How much do ecommerce accounting services cost?

Finance work is billed three ways: monthly for books, yearly for returns and on a monthly retainer for CFO work, so quotes only line up when you compare like with like. Typical US ranges:

Monthly bookkeeping

$200 – $2,500+

Single store to multi-channel with inventory

Business tax return

$1,000 – $3,500

Per year, S-corp or partnership return

Fractional CFO

$2,000 – $10,000

Per month, by revenue stage

A single store with lower order volume typically pays $200–$600 a month for bookkeeping, while multi-channel books with inventory run $1,000–$2,500 or more. A fractional CFO typically costs $2,000–$5,000 a month at an early stage and $5,000–$10,000 at growth stage.

Sales tax is priced on its own: a one-off nexus study typically costs $1,000–$4,000, and managed filing around $50–$80 per return. Across all of it, the biggest price driver is the state of your books. Reconciled records make every other job quicker to quote and deliver, and messy ones get billed as clean-up first.

Income tax returns

Planning and CFO advice

Forecasts, budgets and part-time senior finance judgement

Reporting and dashboards

Dashboards and KPIs built on Shopify reports and your books

Chargebacks, pricing in several currencies, funding and store sales

Frequently asked questions about ecommerce accounting

What does an ecommerce accountant do that a general accountant doesn't?

The rules don't change because you sell online; the data does. A general practice can file a clean return, but the mistakes show up in the detail: sales tax collected sitting in revenue, stock expensed when bought rather than when sold, gift cards booked as sales, marketplace fees netted out of income. Someone who works with online sellers has seen those patterns and knows where Shopify reports each figure. A small single-channel store with tidy books can do fine with a good general accountant.

Should I hire an ecommerce accounting firm or a freelancer?

Match it to how many jobs you need done. A firm can cover bookkeeping, returns and sometimes CFO work under one roof, and someone else picks up your file when a person is away. A freelancer gives you one experienced person doing the same work every month. For a single store that needs clean monthly books, a freelancer is often enough. Once you need filings in several places or regular advice on cash, a firm tends to fit better.

Does an online business accountant need to be based in my state or country?

For bookkeeping, no. The data lives in Shopify, your bank feeds and supplier invoices, and all of it can be shared remotely. Tax work is different. Sales tax, VAT and income tax rules vary by state and country, and the person advising on them should be qualified where you file. A US brand selling into the UK or EU may need one adviser for its home returns and another for VAT.

When should a small store bring in outside finance help?

Three moments are worth acting on. The first time you hold meaningful stock, because cost of goods sold stops being guesswork. The first time Shopify Tax shows you approaching a nexus threshold in another state. And a few months before your first year-end return, not the week it's due. Before any of those, keeping your own books in a simple system and reconciling payouts every month is reasonable.

What should I send an accountant before asking for a quote?

Five facts get you a usable quote: your monthly order count, every channel you sell through (online store, POS, marketplaces, wholesale), the states or countries you ship to, whether you hold inventory, and your business structure. Add how far behind the books are, if at all. Without these you'll get a range too wide to compare, or a low number that rises once the work starts.

Are Shopify's own reports enough to run my finances?

They're a strong source, not a set of books. Shopify sees what happens in the store. It doesn't see your bank accounts, supplier bills, loans or payroll, and it doesn't produce a balance sheet. Your accountant should treat Shopify's reports as one input and reconcile them to everything else. If you want those sources joined in one live view, that's a finance dashboard project, a separate reporting job.
